EVENT: ASEAN-Australia Special Summit
CLIENT:  Department of the Prime Minister and Cabinet
DATES: 16-18 March 2018

Heads of State/Government of the Member States of the Association of Southeast Asian Nations (ASEAN) met in Sydney, Australia, from 16-18 March 2018 for the ASEAN-Australia Special Summit and related meetings. The ASEAN-Australia Special Summit was delivered by a whole-of government taskforce hosted by the Department of the Prime Minister and Cabinet.

The team behind the design, project management and supply of the venue fit out works, ExpoNet, provides an insight into the production of this international business event.

The event was attended by the Association’s national Leaders and delegations from Brunei Darussalam, Cambodia, Indonesia, Lao PDR, Malaysia, Myanmar, Philippines, Singapore, Thailand and Viet Nam as well as international and national media representatives. Australia’s Prime Minister Malcolm Turnbull supported by the Australian Minister for Foreign Affairs Minister, Julie Bishop and other Australian government ministers represented Australia’s delegation at the ASEAN-Australia Special Summit.

Held in Sydney in March, the Special Summit addressed key concerns for Australia and Southeast Asian member nations including regional security, counter terrorism, economic prosperity, education cooperation and social connections of the people.

Selected as Official Supplier – ExpoNet

The Official Supplier ExpoNet, was appointed to provide a range of design, project management and equipment supply for the Special Summit. Following months of preparation in the lead-up, the Special Summit included a meeting of member nations in Sydney across a selection of venues including the International Convention Centre, Sydney, Sofitel Darling Harbour, Admiralty House and Quay Restaurant.

The most significant portion of the venue fit out works was the temporary overlay of the ICC Sydney. The team designed, constructed and provided infrastructure for multiple areas of the venue, such as the International Media Centre, the bilateral meeting rooms, the Leaders’ area and the Welcome to Country reception area.

ExpoNet provided a range of solutions including furniture, signage, custom constructed features, staging equipment, outdoor temporary structures and audiovisual requirements, work stations, lounge area fit out requirements, delegations’ offices requirements, partitioning walls, stage sets and other infrastructure critical to the event delivery. A large aspect of the supply was the design and production of the event signage including thorough way finding signage and branding solutions at each of the four venues.

Certainly one of the more complex areas of the delivery was the Leaders’ Plenary event requirements. The team designed and supplied high end custom features for the Summit’s plenary staging requirements including the official back drop for the ASEAN Leaders’ ‘family photo’ and the stages themselves.

Critical to event delivery success was the fit out of the Leaders’ space, where the ExpoNet team applied the Taskforce style guide of graphic design and produced branding solutions using the company’s innovative walling product, Aluvision. They arranged for a technical floor to allow for cable management, custom made leaders’ table, desks and branding in the space.

From ASEAN-Australia Special Summit Taskforce Project Manager

‘Having delivered the fit-out and build for G20, ExpoNet came to the ASEAN-Australia Special Summit Taskforce with a wealth of knowledge. This knowledge proved invaluable to the project in particular on the short time from engagement to delivery. ExpoNet’s lead designers applied the Special Summit branding to create a leaders dinner table that was superbly received by the Australian Prime Minister and the ASEAN Leaders. Utilising Australian materials and delivering a custom product second to none, I wouldn’t hesitate to recommend their custom design service.  Their knowledge and experience within the main venue was exceptional and proved value during a 3 day bump in period which was unprecedented for an event of this size.’
